In this video, I want to show you how you can start using Chat2BT within Google Sheets.
Just recently, the Chat2BT add-in has been available in Google Sheets.
So first of all, let's get the add-in.
So I have a workbook open here in Google Sheets.
So up on the menu bar, you'll click on Extensions, and you'll click on Add-ons, and you'll click
on Get Add-ons.
On this window, do a search for OpenAI Chat2BT, because there's going to be other ones that
say Chat2BT, but you want to get the official one that is OpenAI Chat2BT.
So notice how there's other GBTs there.
So you want to scroll down and find the one that's officially Chat2BT and OpenAI.
So we'll click that, and I'll click on Install.
Now this assumes that you have a Chat2BT account, and certainly a paid account.
So I'll click on Continue here.
It did find my paid account, and I'll click on Continue.
And then you want to check these boxes, or check which ones that you like, to give it
approval for those features.
I'm going to click on Continue.
And now it's been installed, and you're going to find it under the Extensions again.
So I'm going to go ahead and close the window here, and close the window here.
So you have to install that add-in.
Once you do it, it should be available.
On this sheet, let's go to the Expenses sheet, and we have a list of data.
Now I'm going to click on the Extensions tab up at the top.
And then you'll pick on Chat2BT, and you'll say Open Sidebar.
Now we can start using Chat2BT within Google Sheets.
So it can really make some great changes to your workbook.
Here we have a big list of data.
So of course, I'm going to go ahead and ask it to sum that data.
I'm going to say sum the U.S. dollar amount for each expense type.
And of course, the U.S. dollar amount and expense type are among the headers.
I said sum the U.S. dollar amount for each expense type,
and it just filled in the expense type and the U.S. dollar amount.
Now watch how it can highlight data based on a certain condition.
I'm going to say highlight the rows that say Hotel in red.
Highlight the rows that say Hotel in red, and it just did it for me,
and it worked all the way down.
Now, of course, that's a feature that's called conditional formatting.
But even if you know how to do conditional formatting,
to do the whole row like that, there's a bit of a trick to it.
Chat2BT was able to do it for us.
Let's try some other examples.
So I'm going to go to a sheet that's called Customer List.
We have a list of all the customers.
I have the customer ID and the company name and the contact name and so on.
I'm going to click on a sheet that's called Order List,
and we have a list of all the orders.
We have the order ID, customer ID, the employee ID, and so on.
Notice how this sheet has the customer ID, but not the company name.
So here's something that comes up a lot in the Google Sheets.
Sometimes we have to look up information from a different sheet.
Now, I want to show you that the last column of data right now is column O.
Let's go back to the left.
I'm going to come over here to Chat2BT,
and I'll say, get the company name from the Customer List sheet and put it with each row.
So in your prompt, you want to be very specific and very direct,
give it as much detail as possible, and just use plain language.
You don't have to use the Excel terms.
I say, get the company name from the Customer List sheet and put it with each row.
It says it's done.
I'm going to scroll over to the right.
Notice in column P, we have the company name for each one,
plus we put the real formula in there as well.
Now, whether you understand that formula or not, it's still going to work.
So Chat2BT just helped us look it up on a different sheet.
That comes up a lot in Google Sheets.
Let's keep on going with a few more examples.
There's a sheet that's called Orders for Aging.
So let's say these are all the unpaid orders, and I would like to have an aging report.
So let's ask Chat2BT.
I'm going to say, create an aging report from this data on a new sheet.
Show the balance for each customer in 30-day increments.
I say, create an aging report from the data on a new sheet.
Show the balance for each customer in 30-day increments.
And it says it's going to make a new aging report sheet, and I think it just did it.
So we have the company name, current, 1 to 30 days, 31 to 60 days, 61 to 90 days,
91 to 120, over 120, and a total balance for each customer.
That was pretty good for the two minutes it took to make that.
And now I have a nice aging report from that data.
You can really start to see that Chat2BT in Google Sheets can be extremely helpful.
Let's see if I have another good example.
So I'm just going to go over to the right of my sheets.
Let's try this one.
Here's a classic example.
We want to compare the budget versus the actual and show the difference and the percent of change.
Plus, if the actual is more than the budget, we want to show those in red.
That's exactly what I'm going to put into Chat2BT.
I'm going to say, calculate the difference and the percent of total.
If the actual is more than the budget, show the actual in red.
So as I calculate the difference in the percent of total,
if the actual is more than the budget, show the actual in red.
Keep an eye on the data on the left.
So it put the difference in the percent of change.
Now on that column, if they're negative numbers, they became red.
But if you look at the actual column, it did make it so that
if the actual is more than the budget, those show up in red as well.
Let's go to one more example for this video.
I'm going to go to a sheet that's called Date Formulas.
So these are actually the holidays for 2024 and 2025.
So I'm going to say, show the month, day, year, and quarter for each date in column I.
Show the month, day, year, and quarter for each date in column I.
They just filled them in, the month, day, year, quarter.
Now I'm going to say, starting in cell H24, continue the list with the holidays from 2026,
the same style.
And it just filled them in.
Let's see.
We have holiday name, the date, the month, the year, and the quarter.
I mean, those are some great uses of Chat TVT within Google Sheets.
