you might have heard of chat gbt or AI
it's in the news quite a bit and chat
gbt is one of many AI tools or AI means
artificial intelligence uh so chat gbt
is a natural language processing chatbot
driven by generative AI technology that
allows you to have human life
conversations and much more the the AI
tool can answer questions and assist you
with tasks such as composing emails
essays and code I mean it can be
for really just about any kind of uh
research or anything that you're trying
to look up and what I like about it is
instead of going to Google and typing in
a question you might you know get a
thousand responses or even more and then
you have to go through those chat gbt
you know Cuts right to the main answer
that you're looking for and then another
reason that I like it is you can do
follow-up questions and uh it can base
its answers based on his previous
answers and I'm going to demonstrate
that today so if you haven't used it yet
today I'm going to show you how to get
to the jat GPT website how to start
using it and then there's also a chat
GPT add-on for Microsoft Excel so that's
what we're going to talk about today all
right so let me get to my next slide
here so to get to the chat gbt interface
you're going to go up to
open.com chat
gbt now they'll let you try it for free
and then after a while they'll want you
to upgrade to um you know a paid
membership now the paid membership is
not expensive I think I pay $10 a month
for mine uh there's different plans that
you can get but you're going to start
off by going to uh
open.com chbt so let me switch over to
the internet browser
and I'm going to go right up to
there I'm just going to go to a
different
window and you can see I have it already
in my
browser so at the uh on this screen you
can either log in or you can try for
free as you can see so I'm going to go
ahead and uh click log in obviously if
you need to get a new account you would
go through the screen to get a new
account and there's different plans you
can get but you can try for free for a
while
so once you're on this screen I'm going
to click on the chat gbt uh section
here and I try to make my mouse bigger
for you so you can find my mouse now it
gives you some examples of what you can
type in so you're going to type in your
request down here so let's see how that
can start to interact with Excel and uh
let me go back to my PowerPoint here
so there's where I went to
open.com chat
gbt and then you can see I just picked
on the chat gbt icon
there now uh you might also have to like
I said sign up for a new account or log
your account if you have
one uh so this is the what the screen
would look like if you have to uh create
a new account it's basically based on
your email address and then of course it
would ask for a
password and then you would log in of
course but once you're logged in usually
it'll maintain your login uh
instructions the next time you go into
chat
GPT so let's start to see some of the
prompts that I might use to get some
Excel information one of the great uses
of chat gbt with Excel is it can help
you build formulas so let's start I have
some sample prompts right here in the um
in the PowerPoint so I'm just going to
highlight this text
and then copy
it so it says what Excel formula would I
use to add up a column of
numbers so one of the things that people
struggle with in Excel is the formulas
so chat GB chat gbt can really help with
that I'm just going to paste it into
here otherwise you can just type it
in and at this point I'm going to click
in the arrow to send the message and
let's see what
happens so it starts to give you
if you typed in that same thing in
Google you might get you know a thousand
Pages back maybe even more than that
here it just gives you the answer and
you can really start to use that
information so it says to add up a
column of numbers in Excel you can use
the sum function and then here it gives
you an example of how to use the sum
function let's say the numbers that you
want to use were in column A so you
might say equal sum A1 to uh A10 for
example so
now I'm going to um I'm going to say
okay what
if my
numbers are in column
C so then it kind of knows that you're
basing that question on the previous
question and then it gives you the the
changed formula nowal it say equals sum
C1 to
C10 so
you can start a question and now we're
having kind of a conversation between
you and chat
gbt let's go back to my PowerPoint for
some other
prompts so then I then the next question
I have what Excel format what I use to
count the number of breakfast items in a
list so I'm going to go ahead and copy
that and go back into the
browser and I'm just going to paste it
in here now it'll know that now you're
kind of switching topics so it'll know
that this question really isn't related
to the uh other question although you
know the question could be related if
you wanted it to be like that but this
one it'll know it's you're talking about
a new
topic so it says to count the number of
breakfast items it gives you a good
description here and then it gives you
the um now it's going to use the count
if formula okay so notice how it gives
you different variations of the count if
first it gives you the basic variation
and then I say specifically uh breakfast
items and then even here it says
breakfast foods as another as another
variation on the prompt so then I might
say uh
well my expense
types are in
column
F and they go all the way down to
column now it'll know that I'm talking
about the same subject and then let's
see what it returns for me now so now
it's a very specific formula equals
count if F col F comma breakfast now
I'll tell you why I type that in because
I have an Excel spreadsheet that matches
that criteria so now I'm going to switch
over to excel everybody and this Excel
spreadsheet and also the PowerPoint
presentation is something that I
included in the webinar so you might be
able to get these from the webinar
platform or maybe they were in the um
maybe they were in the invitation so the
file that I sent up is called student
file new I'm going to go into
there you can really use chat TBT to to
help you with many of your Exel
uh problems that you're having and I'm
going to try to walk through a bunch
today so I'm going to use the
spreadsheet as my as my sample
data okay so here's the Excel
spreadsheet now we're not going to use
every single sheet today like even that
first sheet that's called basic math
does help you uh does help you do the
math in Excel so I'm going to come down
here and click on a sheet that's called
sum if and count if and then notice how
I have this big list of data right
and my expense types are in column F
that's why I asked that question of chat
BT so now watch what I want to do I'm
gonna go back to chat gbt I'm just going
to copy this exact um this exact formula
that it gave me I'm just going to
highlight the text and copy
it now I'm going to go back into Excel
I'm going to paste it right over
here and then I'm I'm going to press the
enter
key and let me format that
column just going to highlight column J
and I'll make sure that it is
a black text there you go so it came up
with a number of 16 all right
so I thought that was pretty interesting
that I told it where my data is and it
gave me the exact formula to count how
many breakfast items there were so let's
continue with some of the examples that
I have and the examples that I have in
my PowerPoint are based in in the data
in the spreadsheet so you can see how it
really gave me the exact formula there
so then you can see I already asked uh I
already asked chat GPT that's next
question you can rephrase it in
different ways here I said based on the
previous question what will be the
formula B if the expense type Reser in
column F so we're already asked one so
so now I'm going to start I want to
calculate the sales tax so I want to say
based on the previous question what
would be the formula to calculate the
sales tax for each breakfast item to be
zero but the sales tax for every other
item is going to be 7% so I live in New
Jersey here in United States and we have
7% sales tax
so I'm really asking chat TBT to give me
another formula I'm going to copy it
from here now remember you don't have to
have the text already you can just type
it in the chat gbt directly but you know
for this class I wanted to have some
questions ready so I'm just going to
paste it in so I'm telling it that it's
based in the previous question so you
could really start to have a
conversation with the interface it's
pretty powerful
so in this
case uh uh I'm not really crazy about
the format that it gave you although
um it it gave me the formula for the
entire column so then when I try this uh
in preparation for the class I rephrase
the question so sometimes if you
rephrase the question you'll get
different
results uh so that's the beauty of it as
well so let's go back to my PowerPoint
and I'm going to
say yeah so I'm going to say based on
the previous question what would be the
if formul if the amounts were in column
e so let me see what that's going to
give
us paste it into the other window here
in chat
gbt now it's still using that count if
so I'm still not completely happy with
that result so then I rephrased it
again uh so you know sometimes you want
to rephrase your question to be more
exact and then here I rephrased it in
this case so I said based on the
previous question what would be the form
to calculate the sales tax for each line
item uh oh okay
so uh in this case I want to get a
unique list of uh all the uh countries
so watch how we're going to do that
first so this is how we can actually
start to um feed data
into uh into chat GPT so I'm going to
say I'm going to ask chat GPT let me
look at my Excel spry for a
second so the countries are in column B
right so I'm going to ask chat
TPT how do I
make a list of
the
unique items that are in column
B of my spread
sheet and now notice how it gave me a
formula that says equals unique B colon
B okay good so I'm going to highlight
that I'm going to copy it and now I'm
going to go back to Excel and paste it
up so I'm going to come over here to the
right everybody and let's
say in column
T I'm G to type I'll just paste that
formula in and look what happened it
gave me a list of the the countries that
the the unique countries in column
B uh and it it also is sorted
alphabetically so that unique formula
was very very helpful and uh chat gbt
just gave me that so now what I'm going
to do is I'm going to give each
different
country um a sales
tax okay then we'll we'll change the
formula to look up the U sales tax in
this table over here so let's say I'm
just making these up let's say Austria
has
6% uh that's 7% you know these these are
just made up
8% in fact I'll just copy these
down okay that's fine all right so that
that'll work out all right so now I have
a list of the countries and the sales
tax right I was able to get the list of
the countries because of what they gave
me from chat gbt equals unique so maybe
you didn't even know about that formula
so now I'd like to take the US dollar
amount from column
e and use the country in column B and
then calculate the sales tax here so
let's see what I have as my question in
my PowerPoint yeah okay here it is so
based on the the previous question what
would be the formula to calculate the
sales tax for each line item based on
the country and each country has its own
tax rate that was in the list that
started uh now here when I wrote the
question I said column Q so I'm going to
rephrase that on the next on the next
line as you can see
so I'll copy
that go back into chat
TBT and just paste it into the interface
here you can see it gives me a very
quick
response and it you know obviously if
you type that into Google you might get
you know a thousand pages and you have
to look through them here we're getting
the direct result and this does happen
to be what was looking for so it's now
it's using the vlookup so uh I'm just
going to try to copy
this and paste it into
Excel here I have a column for the sales
tax I'll just paste that
in and uh let me format that to show up
as
black okay now uh when I did that
everybody notice how it says value
because is looking for the countries in
column q and column R right but mine is
really in column T so let me let me show
you how I'm going to rephrase the
question to chat
GPT and I'm going to
say um I forgot to mention that the
country is in column B well let me see
what the uh the formula
said oh okay so um yeah all right so I'm
going to tell to the country is in
column B and the list of countries is in
column T so watch what I'll
do I'm going to copy
this paste it into chat
GPT and I'll say oh I forgot to mention
the country is in column
B for each
row and the list of countries
is in column
T is in column
t or
starts list of
countries starts in column T so it knows
now to redo the uh formula now this one
looks better see how B1 is going to be
where the country is and then the list
of countries is in column T I'm looking
at that and that looks pretty correct to
me so I'm going to go ahead and copy
that the only thing is I'm going to
change B1 to B2 because I'm going to be
on the second row the Excel spreadsheet
so let me go back to
excel I'll paste it
in E1 is the amount
B1 oh right it should be B2 that's what
I just said let me change it to B2
uh V look a
B2 T1 the U comma 2 comma false so let's
see what's going on in column
T T1 to
U2 to U 100 that looks right to me uh
equals E1
times V look up
[Music]
B2 T1 to U 100 comma 2 comma false so um
maybe get rid of the spaces
here that looks right to me I'm just
trying to figure out oh that should be
E2 excuse me it should be E2 that's
that's what the answer is yeah exactly
now the way that formula is
structured uh the the range for the
vlookup is going to be one of those
absolute formulas because of the dollar
signs so I should be able to just copy
that right on down and and look it it
calculated the sales tax uh it took the
sales tax rate of that country and then
multiplied it by the amount so chat gbt
just gave me you know the formula where
the sales tax is based on the country
and I'm just using the prompts uh you
know I'm just using chat gbt as it's
being
designed so now what if I I really am
struggling with
Excel and I'll say go back to chat
gbt uh how do I add the sales
tax in
column G
to the
amount in column e so even if you're a
beginner at Excel it can give you more
of the basic formulas
also and then you can see it just says
equals E1 plus G 1 which is correct
except I'm going to change it to E1 to
G2 I mean E2 to
G2 I'm just going to paste it in
here we'll change it to
say um E2 to
G2 and I'll make that black
again good and then I'll just copy it
down all all right everybody so that's a
great example of using chat GPT to help
you build some formulas let's see what
else chat GP chat GPT can do for you as
far as Excel is concerned I'm going to
go back to my PowerPoint so you can see
how uh I kept on saying based on my
previous question or oh this this one I
even said oh I forgot to mention so it
knows that you're talking about the
previous question and you just build on
that conversation let me go to my next
slide
so now we can start getting uh
step-by-step instructions from chat TBT
again if you ever try to get
step-by-step instructions from Google
you only have to go through many many
pages to find the right answer so let's
um let's try this question here how do I
make a chart in Excel I'm just going to
copy
that and then paste it into chaty BT
now at this point it kind of knows that
I'm starting a new topic because I
didn't refer to charts yet in the in the
conversation so look at this everybody
just like that it gave me um you know
step-by-step instructions on how to make
a chart select the
data it says insert the chart by picking
on the insert Tab and then choosing a
chart type I mean it really is very
specific directions here as you can see
so now I want to get more specific let
me go back to my Excel
spreadsheet and I'm going to go to a
different sheet here
so you can see uh the data that I want
to use in the chart is from A3 to I9 so
I'll tell chat chat GPT that and see if
it gives me a different response
so I'm going to say based
on my previous
question the
data I want to
use in the
chart is
in cells
A3 through
I9 let's see what it comes back with
so now it can get more
specific it says highight cells A3
through
I9 click on insert and then click on
charts you know so I like the fact that
it's very step-by-step directions and
they're easy to follow then I'll
say what if I wanted to
have the
numbers
appear above each um bar on the chart so
I'm trying to put it in
English now if you know anything about
Excel that's going to be called a data
label but me as a new user in Excel
maybe I don't know it's called a data
label I just want to have the numbers
appear above the bar uh on the chart so
let's see what chat gbt has to say about
that and then right away knows that I'm
talking about the data labels it says
click on the chart to select It Go to
theart chart design tab in the Excel
ribbon in the charts layout group click
on ADD chart element and then choose
data labels so let's see if that's
really going to
work I'm going to go back into Excel now
I am going to make a chart from here and
uh you know I'm I'm sure these are the
instructions it gave me to make the
chart I pick on the insert menu and then
we'll pick the chart type and I'll
choose this one good so those directions
just said picking the chart design tab
come over here and click on the word add
chart
element well let me let me click on one
bar let's say I just went on the yellow
bar so I'll say add chart
element data
labels and uh I'll say you know if I
pick on outside end it just put the
numbers on those bars so you can see
chat chbt was able to uh give me the the
correct instructions for
that and then let's say say
um let's say on this chart I want the
numbers on the left to not have any
decimal places so I'm going to ask chat
GPT that
again so I'm going to
say with that
chart I want the
numbers on the
left to
have node decimal
places and then it tells me exactly how
to do that uh so obviously I know how to
do that uh so click on the axis labels
which are the numbers on the left hand
side it says that right click on the
selected uh labels and choose format
access and then you know it says change
the decimal places to zero so that is
the correct instructions so I think it's
really amazing how chat chbt tends to
know what you're talking about and gives
you the exact answer that you're looking
for rather than other search engines
which you know you really have to go
through all the answers to find the
right one that you're really looking
for I think it really could save a lot
of time let's uh see some other
questions that I have okay here's how do
I get sub totals from a list of data in
Excel so let's go to another Excel uh
sheet within the same
workbook so this time everybody I'm
going to go to a
sheet I'm just using this Arrow to go to
the right of the sheets and I'm going to
click on a sheet that is called sub
totals okay good
so let's say well let's see what chat
gbt says first on the first uh question
here let me go back to the PowerPoint
how do I get sub total from the list of
Excel
data just copy that
in I'll paste it into the
interface to get sub totals first it
says ensure your data is
sorted okay so Ure your data is sorted
and then click on the data Tab and then
click on sub totals all right so uh I'm
going to tell it I want want to
subtotal the expense
types which are
in column
F I want a
subtotal uh based on the expense types
which are in column
F and it gives you the exact
instructions for that so let's see if
the instructions are any good it did say
first to sort the expense type so let me
go back to excel I'm going to sort the
expense type in this case I could just
right click on the expense type and pick
on uh sort a
toz then it said click on the data
Tab and then um it said click on the
word subtotal on the right side of the
data tab which is
here okay so now let me see what the
instructions say next
data
subtotals uh click subtotal again then
it says at each change in choose the
column containing the expense types okay
that's fair enough so let me go back to
excel I'll choose the expense
type then here it says to choose a sum
and then here it says dep pick the few
that you want to actually sort which in
my case is the US dollar amount and
click
okay and notice how I have a total for
each different expense type so everybody
if you didn't know how to do that in
Excel chat gbt just gave you the exact
instructions on how to do it I mean I
think it's an amazing tool hopefully
you're getting some good
ideas now if you notice on my next
sheet uh I have the pivot table data so
let's say your boss asked you to make a
pivot table out of this information or
to summarize it in certain ways which
the pivot table can do let's see if I
can ask chat gbt that kind of question
you can actually ask a pretty fair
complicated questions but here it says
how do I make a pivot table in
Excel so I'm going to go back and and U
go back to the chat TBT interface and
just paste that
in it says select your
data it says use the insert
menu it just gave me a complete list of
instructions of how to make the pivot
table it says insert and then choose the
pivot table
icon the data range usually it's going
to um pick the proper data range for you
and you click okay and then you move
your fields that you want to the rows
columns and values uh of the pivot table
let's see if those are correct
instructions I
mean I know that they are correct but
you you you want to test it out so
here's my data now you could either just
click on one cell or you can select a
whole bunch of data so it did say to
select the entire range of data so
here's a quick way to do that I'll do
control a oh by the way we can ask chat
GPT what the keyboard shortcuts are but
I'll do control a and it selected that
range of data then I'll click on the
insert tab which it told me to do and
I'll click on the pivot table icon here
which it told me to do now you can see
how the range is correct we're going to
put it into a new worksheet and I'll
click okay all right so I'm still
following the directions then it says
move your Fields you know into the
different sections here so if I want to
have a subtotal by
office I'll pick up the office field and
move it down to
here into the
rows if I want to have a subtotal for
each office I'll move something into the
value section and usually you have a
number field in the value section so
I'll pick up the word total and drag it
into the values now just that quickly I
have a subtotal for each office and then
it also said to move something in the
column section so I'll pick up the
airline and move it into the
columns so if you never build a pivot
table chat gbt just show you how to do
that I mean you know uh again think
about if you Google that you have so
many responses you'd have to search
through them chat gbt just uh just cuts
to the Chase and gives you the exact
information that you're looking for I
mean it's pretty amazing to me let's go
back into my PowerPoint
now so you can see you can ask it that
kind of question and it'll give you um
it'll give you specific answers let's go
through my Excel spreadsheet and see if
there's other things that that I'd like
to ask chat GPT so I'm I'm going to go
back I'm going to go back to a sheet
that's called Date
formulas so here I have January 1st of
2024 and then I'm going to uh put in
today's date there so uh a keyboard
shortcut for today's date is control
semicolon and that gives us today's date
well by the way I did mention this let
me ask chat GPT if it knows any good
keyboard
shortcuts do you know any
good keyboard
shortcuts for
Excel and then it starts giv me a bunch
of keyboard
shortcuts and then I'll say is there one
to show the current
date and it did control semicolon right
so it's pretty smart now they the chat
gbt with many many databases on all
kinds of different uh information not
just Excel of course but uh it goes up
to I think they have it loaded up to
maybe June of
2022 so it's not going to go know
anything recent but they're they're
trying to catch it up as quickly as
possible but you know you can ask at
anything from the past but that is the
keyboard short I was looking for so now
I want to say how do I
show the
difference in days between two
dates and let's see what it
says so it says equals end date minus
the start date so in our case it's going
to be well it says B1 minus A1 and I'll
say well my
ND is in
A2 right so now it knows to kind of
correct
that and now it says A2 minus A1 let's
see if that's any good I'm going to
highlight the formula see how you can
you know just uh tell it where your
information is and it'll give you the
proper formula from there so now I'm
just going to paste it in here I have a
space for the calendar days
and it says 64 that that's 64 calendar
days well what if I want the number of
business St between two dates let me ask
that to chat chb
well um what if I wanted the
number of business days between two
dates and then it's giv me a formula
here every that's called Network
days okay and it also has another form
that's called workday which is something
a little bit different but it says
Network days is going to give me the
difference in in um calendar in business
days let's I'm just going to copy that
see how it still is using A1 to A2
because it's kind of based that on the
previous
question let me copy that I'm literally
just doing a copy and paste I'm going to
paste it into here
so it was 64 calendar days but 47
business days so that took off the SAT
Saturdays and
Sundays now with the network days
function you can also include the uh
holidays but what if I didn't really
know that I'll say
um you can see it says 47 there right
I'm going to tell
it the does
that include the
holidays I have a list of
holidays in column
I so now it's going to fix the formula
to include the holidays so let me just
copy this one
over right I'm just copying exactly like
it is because I'm telling you where my
data is and now I'll just replace that
formula before it was 47 right you can
see I have a list of the holidays in
column
I and now it went to 44 because a couple
of these holidays already happened
within the
year so you know chaty BT is pretty
smart it it it it um definitely can help
you get the results that you're looking
for now what if I want to find out what
um what week of the year these dates
happened
then and I'd like to find out from
Chachi
BT is
there a
way to
tell what
week dates happened
in and it's using the weak numb for
formula and then I'll say my dates are
in column
I and then it says use the weak num
formula uh so I I'll copy that let's see
if that
works it did say i1 so I'll just put it
here and just copy it
down and then just that quickly it gave
me the week um of the year that those
dates happened in
so I hope that you're seeing how chaty
BT can really help you uh with your
formulas and those kind of things now
everybody you can also feed data in the
chat TBT so let's try something uh I'm
going to highlight this information
here just highlight the actual data from
the Excel
spreadsheet and copy
it now I'm just going to paste it in the
chat
gbt and then it'll say I noticed that
you have some data what would you like
me to do with that data well it gave me
some things about the dates and I'll
say can you tell
me how
to figure out what
day those dates happened
[Music]
in happened
on so here it says uh I can try equals
text and B1 would be um the the date so
I'll
say the first
state is in I2 and then it'll just
adjust
that so let's try that formula I mean
this is one way to do it equals text I2
comma DDD all right I mean I know
there's another way but let's see if
this way is any good go back to
excel I can pick it right into
here and then it's telling me that that
was a
Sunday and I can just copy that
down so are you getting the idea
everybody that chat BT can help you with
just a ton of different features here uh
here's one that people ask me all the
time let me go to a sheet that's called
um text uh how about text to
columns or how about text
functions okay
so I have the first name in column A and
I have the last name in column B and I
want to put those together so let's see
what chat gbt has to say about that in
fact I'm going to highlight the
data obviously I'm just going to
highlight some data
here I'm going to paste it
in I'll say um if the
data I just gave you starts in column
A how do
I
um put those two columns together I'm
trying to ask the question in English so
you so you'll do the same thing how do I
put those
two together
and then here is you know a formula it
says equals A1 and J1 and I'll say
um the last names are in column B not
J all right so it says equals A1 and B1
all right so I'm just going to copy that
I I know that's the right answer right
there so I'm going to highlight
that I must have gave it some extra
information oh it's still working with
those days okay so let me go back to
here I'm going to insert a new
column and uh I'm going to paste it
in and copy it down and look it put the
first name and the last name together
together into column C right so it could
really help you with uh a lot of
different Excel
issues oh here's one that's
interesting oh well what I'll do now for
you everybody is I think you get the
point of using chat gbt itself to
resolve some Excel issues and then you
work with your own data and start to ask
questions like that the next thing I
want to show you is there's a chat TBT
well I talked about feeding Excel data
in the chat TBT but the next thing I
want to show you is there's um oh okay
you can use chat gbt to generate data so
let me show you this one so I'm going to
say can
you give
me um the
50 states in the
US
with the uh
name abbreviation
and state
capital put it in a table
format so uh here I'm just kind of jump
into the Chase and show you uh a
specific question here let's see what it
gives
me now look what it's giving me it's
giving me the state the abbreviation and
the
capital and then guess what I'm going to
do I'm going to copy that right into uh
Excel now of course you can find that on
Google but again you might have to go
through many pages to get to the right
answer and plus Google will give you ads
and everything like that right here I'm
just going to make a new sheet in Excel
paste it right in and and we have it I
mean that was pretty good you know so
you can really start to see the power of
chat gbt now if you look at my screen
everybody I have this chat CBT add-on
for Excel and this can even help you
even further let me show you how you get
the
Addam so you want to go
to you want to go to a specific
website uh so I can leave this website
on the screen for a second uh it says
pages. store.
office.com SL
addins install page.
aspx question mark asset ID
equals
w200
5271 all right so you can even search uh
on Google for chat TBT add-on for Excel
and then it'll bring it to this page
okay so
then you just download that into Excel
and then uh you install it it'll turn on
this chat gbt for Excel icon over here
now this is another thing that you have
to subscribe to and that one's going to
be about $10 a month as well but let me
demonstrate that for you so if I pick up
the chat gbt uh for Excel just do a
Google search for chat gbt add-on for
Excel and you'll find the same one that
I
found and then uh there are some
examples here and the AI functions so
let me get the example spreadsheet I'm
is going to pick in the word examples
there and it just downloaded this
document I'm going to pick in the
downloaded document here just to show
you what we
have now once you have this add-on
everybody you're going to have a bunch
of new
functions uh so for example I'm going to
come over here to this tab that says AI
esque now you don't have to use this
workbook these are just samp you know so
now I have a function that's called AI
ask so I can I can get the chat gbt
right from Excel so I'm going to say um
dot or uh equals AI see now you have all
these AI functions within Excel because
of that added ai.
ask uh how do
I I'm going to put the prompt in quotes
because it's Tex
how do I
make numbers red if they
are over 50 in
Excel you can see how it's prompting it
it's it's looking up the
information and now it gives me the
answer and it's going to talk about
conditional
formatting
so one one uh new function that you have
is ai. ask and you can do that right
within Excel here's another one I'm
going to go to the sheet that's called
ai. table so this says uh The Prompt
that they gave it was to show the top 10
movies of all times with the release
year and the actor so uh
notice so you would type in any prompt
there and then the AI command is AI I
mean equals ai. table C4 is where the
response is as you can see let's try
something else let's try how
about the uh the top
10 uh most
popular
Halloween
costumes and now it'll actually redo the
prompt
or how
about uh the top
10 most
popular most
populated
cities
in the
US and you can see it's redoing
that and now it gave me the the uh most
populated city with the actual
population so I'm doing this right
within Excel now so you can get these
same answers in chat TBT itself or if
you get this add-on so I gave you that
big long website but uh let me go back
back up to the internet here I'll just
go up to
Google and I'll
say
chat GPT add-on or add in for excel
and then you'll see it'll bring you to
the same uh website I I just showed you
so that's a quick way to find it just
download that it is a free download but
after a while it'll start to ask you to
get you know a paid plan so you can use
it free for a while but isn't that
really interesting let me go back to
excel now and show you another
example so in this case everybody let me
go back to the other workbook
sorry let me go back to the other
workbook here and let's see what else uh
it can do so it gives you these six chat
chbt functions oh here's if you already
go on ai. translate so here's the
English phrase right and then the
language is going to be French and then
look what the AI says it says ai.
translate A5 is the text B5 is the
language and then it gives me the French
interpretation of that
and then there's more examples of that
like here these are all English and then
you know you can see there's tons of
different languages and it gives me the
interpretation so that's called ai.
translate that's just another one that's
built right in when you get the chat gbt
for Excel add
in uh let's see if there's one more that
I can show you oh this is interesting
ai. extract so in this case uh it says
find the phone number in this text and
then it was able to uh return the phone
number and you can see the phone numbers
are deeply embedded into that text or
maybe here's the company name let me
show you an example of that and then I'm
going to open up for questions so I'm
going to go back to my other workbook
here and I have a big list of
information uh on this other sheet
here right here so I'm going to
say equals
ai.
extract the value is going to be
E2 and I want to get the state from that
so the word state will be in quotes
because it's going to be a piece of
text so Louisiana is the state for that
address and I'll just copy that down and
now it's going to calculate all of this
so when you get the chat gbt for Excel
icon I mean addin you can really go even
further and do it right within Excel so
like I said go up to Google and search
for that uh you'll find the one that I
found it's the first one it's very easy
to get that into Excel and then you can
do it right from Excel so everybody at
this time I'm going to turn it over to
the host and see if we have any
questions so feel free to type in your
questions in into the um into the
webinar
platform yeah way you can just get the
chat gbt add-on you don't have to do
both uh so you can just get the add-on
without get in the chat GPT website
that's absolutely
correct you don't have to do both you
could just do the
addin I like to have both because I use
both of them but I can see where you
know you would just get the one of those
you're
welcome yes uh so the question is can
you ask you to examine statistical data
and see if there is an anomaly yes so
you can put in um you can put that data
into maybe the the online version of
chat gbt and then you would you would
describe what the columns are uh uh and
then ask it to find an anomaly or even
you know a correlation or those kind of
things so it does have that kind of
intelligence as well I don't have good
sample data for that but yes people use
it for those
reasons all right so everybody there
there is another add in that somebody is
asking for do you recommend chat TBT
over the Microsoft copilot addin so
Microsoft now has its own addin as well
you really have to try to see uh which
one you like better uh so I I just use
the chat gbt one because that's what the
class was about but the Microsoft
co-pilot one I like a lot as well so I
mean you really have to try them and see
which one is going to give the features
that you're looking
for and obviously these days there's
many new AI tools that are coming out
every single day but today's session was
specifically about chat gbt everybody I
want to thank you for your time today it
was very my pleasure to be with you we
have one more
question are you able to take the
worksheet document and dump it into the
chat TBT and then create a meaningful
pivot table on its own uh I haven't
tried to do that although it'll give you
the steps on what to
do I I I would I can place the data in
and then it can get more specific about
the steps to build the pivot table but
I haven't seen where it has the
capability to build the pivot table
itself but maybe that's coming
up if you're starting out would you
start with the copil or chat TBT I would
start with the uh the online version
because I think it's more robust like I
was showing you there's more that you
can do on the online
version yes um with chat
bt4 you can actually make it uh you can
make it uh search the internet
for more current um
situations so there is a setting within
the chat TBT when you have the online
version and you can get the chat TBT 4
and then that will allow you to search
websites and and get more current
information yes
