watch where I'm going to go. You're going to click on the report view icon on the left
and then you'll see the Copa icon on the ribbon. It only appears when you have the report view,
at least for our purposes today. A question did come in. Let me see what the question says.
Is there an advantage to using Power BI versus Excel for the example you are showing?
Yes. Power BI has a lot more visuals than Excel has. Power BI can handle the relationships better
than Excel can. Power BI can handle larger data files than Excel can. So a lot of these things
can be done in Excel, but of course today we're talking about Power BI. Power BI has a lot more
chart types than Excel does and it can handle the relationships better. It can handle larger
data files and so on. Now notice I'm in report view everybody and you know we don't have any
charts yet. Watch how Copilot can help us make the charts. So I'm going to paste in my prompt
into the Copilot window. Now if yours says something like Copilot can't find a good
workspace to use, then you have to use those instructions that I gave you with that link
and you and your IT team have to work that out. Oh by the way, look at my mouse in the Copilot
window. I'm going to click on the pull down where it says select skills and then you make sure all
three of those are checked. I want to paste our prompt in. Oh let me go back to the Word document
to get the next prompt. Here it is the one that says create a chart. I'm back in Power BI. I'm
on the Copilot window and I'll paste it in. Create a chart that shows the sum of the order amount for
each country and then it should actually put it right here on the page. Oh look it put it here
on the sidebar and then I have an icon that says add to the page and that's fine. I'm going to
click on add to the page and it really did add that chart to the page. That's something that
Copilot can do that ChatGPT cannot do. ChatGPT can't actually make the charts but Copilot can.
Good. Now I would like to have the numbers on each one of those. Let's see if Copilot can do it or
maybe it'll give us the instructions. So I'm going to say add the numbers or I'll say show
the numbers. Show the numbers on each bar of the chart. Now it's either going to do it or it'll
give me the instructions on how I can do it. Okay so it shows us how to do that. So it says to turn
on the data labels. Let me show you where you're going to do that. So I'm going to come over here
to the visualizations column and I'm going to click on the paintbrush. Then here it says data
labels and I'm going to click it on where it says data labels. And now we see the numbers on each
column. So at that time Copilot gave us the instructions on how to do that.
Good. Now I can resize that chart. I'm actually going to close the filter section where my mouse
because I'm not going to use the filter section today. We're going to filter our report with a
slicer and we'll do that a little bit later on. Now let's see our next prompt in the prompt file.
Oh now your boss says make a map that shows the sum of the order amount for each country.
And Power BI can certainly make maps better than Excel can. So I'm going to say create a map that
shows the sum of the order amount for each country. I'm going to copy that. We're going to
go back to Copilot. Go back to Power BI and just go into the Power Copilot window. Create a map
that shows the sum of the order amount for each country. Now I'm just going to tell it to put it
on the current page just so it knows that. Everybody if you're using Power BI and Copilot
and ChatGBT, guess what? It's time to upgrade your computers, okay? All those need a lot of memory or
a lot of RAM. They need Windows 11 or the latest operating system within Mac. You know, let's
upgrade our computer so we can use these tools. Notice how it made a really nice map for us.
I'm just reorganizing these visuals. This is significant. Copilot can actually help you make
your visuals on your page. Okay, let's try another. So I'm going to go back into our Word document.
Now your boss says, okay, can you just show the country name and the sum of the order amount?
So that's exactly what we're going to ask to Copilot. So I'm going to copy this prompt,
go back into Power BI, and I'm just going to paste that in again. Even on the Copilot window,
it doesn't let you right click yet. So I'll do a control V for paste. Create a chart
that just lists the country name and the sum of the order amount. Put it on the current page.
So we have the column chart. We have the map. And now if you notice, I have a listing of the
and the amount for each country. So I'm just organizing these visuals so we can see them.
But that's how Copilot can help us. It can actually help you make the visuals. There you go.
Good. I'm just going to make that one line up with this one. All right, that looks good.
So then your boss has the brilliant idea. Your boss wants to have a filter by employee
so they can pick the employee and the charts will change. That's the next thing we're going to ask
Copilot to do. By the way, I would like to save. It's been a while since I've saved. So I'm going
to save up here. Let's go back to our prompt file. Now I did this one already. How do I display the
numbers on the chart? Right. So we did that one already. Your boss says pretty much this exact
phrase. Create a list of the employee names so that when the user picks one, the other charts
will change. Now in Power BI, that's going to make a slicer. But Copilot is going to do it.
So I'm going to go back into Power BI. We go to the Copilot prompt and paste it in. Or of course,
you could have typed it in. So I'll say create a list of the employee names so that when the
user picks one, the other charts will change. I'm going to say the employee last names.
And the word last names doesn't have a space. It'll just work better. Create a list of the
employee last names so that when the user picks one, the other charts will change.
So watch our page here. And it put the list right where my mouse is. Now it doesn't have to be that
big. So I'm going to make it smaller. Now look, everybody. In this case, I'm going to click on the
pull down where it says all. Then we can pick the employee names. So I'll pick on Buchanan.
And the other charts are changing. We're doing all this with Copilot. To me, this is really
significant because you can pretty much ask for what you want. And then Copilot or in the other
version, is doing these things for us. In this case, I'm going to go back and say select all.
And then everything will show again. Good. So that's called a slicer. Obviously, you can
rearrange these visuals as you need to on the page. Then your boss says, well, now add one for
the shipper names. So I'll go back into the Word document. And you'll notice that that's the next
prompt that I have. Create a list of the shipper names so that when the user picks one, the other
charts will change. So I'm going to go back into Power BI and then paste it into the Copilot window
on the right. Create a list of the shipper names so that when the user picks one, the other charts
will change. If you watch your page here, it should add another visual. And it did. I'll click
the pull down where it says all. Now I have the shipper names and that is also changing the charts.
So you can have as many of these slicers as you want. Now they can filter by the employee name
and also by the shipper name to get to the exact rows that they're looking for.
So we just built a half decent dashboard using Copilot. Not bad. Obviously, you can take it from
there. But let's say you came in today and you didn't know anything about Copilot. Well, I showed
you how chat2vt and Copilot can help you get your DAX formulas and help you with the relationships
and build your visuals without really having to know Power BI too much. Just follow the directions.
So I'll do a couple more examples for you. I'm going to go back to each of those slicers and go
back to say select all and then I'll do it for the employee slicer and then everything is back.
Good. Now let's say I'd like to have another type of report that will show each company
and their sales for each year. So everybody in this case, I'm going to make a new page in our
Power BI report. So I'll pick in the plus sign down here at the bottom and we'll make a new page.
The Power BI report can have as many pages as you want. Let's go to my next prompt in the prompt file.
Okay, so I'm actually on the next page of the prompts. Create a list on this page that shows
the sum of the order amount for each country for each year. Make the countries be the rows
and the years be the columns. So it's a very specific prompt. You'll get better at prompting
both ChatsVT and Copilot. In fact, that's going to be a skill that'll be important for us as we
use the AI tools. Prompting is a big feature. So I'm going to go back into Copilot. That's
going to be an important skill, how to prompt the AI tools to get what you want. People will pay
you for that skill, trust me. So I said, create a list on this page that shows the sum of the order
amount for each country for each year. Make the countries be the rows and the years be the columns.
And that's exactly what we have. Now I'm going to expand that visual. We have the countries
and then the years going across the top. Now it's interesting, it actually added conditional
formatting into that as well. So maybe if the amount is over a certain number, you can see
it has them shaded in blue. Now I'd like to remove that conditional formatting. So I'm just going to
show you how to do that. For some reason, that is the conditional formatting. So you may or may not
want that. To remove that, I'm going to click on the visual itself. Come over here to the value
section. We'll click on the pull down where it says sum of order amount. Now, by the way, here's
where you can pick different calculations to show on your visual. But I'm going to say
remove conditional formatting and I'll say all. For some reason, it put the conditional formatting
in there. Okay, we took that away. Now your boss has the next brilliant idea. Your boss says, wow,
it would be really nice to see like a running total as we go down the list for each country.
And you're like, man, make up your mind. What do you want? But your user or your boss is always
going to ask for more things from your report, either from Excel or Power BI. Don't get upset
about that. Guess what? It gives you more work to do and it makes you more valuable in the company.
That's the way I look at it. Well, we're going to have a prompt for that. So I'm going to go back to
my prompt file and I'm just going to say, how would I add a running total for one country to
the next? I'm going to copy the prompt. We'll go back to Power BI. I'm going to paste it into
Copilot. I do have that visual selected. Let me think about this. Yeah. Okay. I know what to do.
So I just put the prompt in. It's going to give us a formula on how to calculate the running total.
Yeah. Look, everybody, I just scrolled up on the Copilot window and it says we're going to
make a measure. Now, the difference between a measure and a column is that a column will show
up on every single row. The measure will show up here as a field where my mouse is, but you won't
see the values until you add it to the visual. So the DAX usually is more complicated for the
measures. So watch what I'm going to do. First of all, click away from the visual. For this one
to work, I want you to click away from the visual. So the visual is not selected anymore.
Now, I'm going to highlight the formula here in Copilot and then just do control C to copy that.
Control C. It says to put this measure into the orders table. So I'm going to come over here and
click on the orders table where my mouse is. And up here on the table tools ribbon, I'm going to say
new measure instead of a new column. Now, the measures and the columns both use the DAX formulas,
but you don't really get to see the measure until you add it to a visual. So there's
a big difference between that and a column. Notice I'm on the formula bar. Now we're going to paste
in our formula that we copied from here. And it should be correct based on all the steps that
we've done. I'm going to press the enter key. Now, if there was a syntax error, it would tell you at
that time. Now, let's see if it made it. Yeah, look everybody. In the data column, if I scroll down to
the orders table, I see a new column that's called running total. Well, guess what? In order to see
that value, we have to add it to the visual. So at least Copilot gave us the formula. So watch what
I'll do. I'll pick up the word running total here and drag it right onto the visual like that. That's
another way to add a field to the visual. Now, it actually put a running total for each year.
I'm going to scroll to the right and I'd like to see the running total for the whole thing. So
17.9 plus the 2.22 of the next row will give us 2.40. 2.40 plus the 58 will give us 2.98.
So it is working out. But notice the formula that Copilot gave us is a little bit complicated.
The DAX formulas can get really complicated. Guess what? Now you have a new friend. Actually,
today I showed you two new friends to help with Power BI.
Chat2BT can help you with your DAX formulas and so can Copilot.
