Subscribers of the personal version and home version can now use Copilot in Word, Excel, PowerPoint, Outlook, and OneNote. This is definitely a new journey for office workers or individual workers who use Office as their main operating system. Hi, I'm Anne. In this video, I'm going to share how to use Copilot better when using Office, Word, PowerPoint, and Excel to improve our work performance. I'm using Microsoft 365 in its personal version. Let me briefly introduce its game rules. In Microsoft 365, AI is currently provided in a fixed number of points. Every time you use it, it will consume AI points. For example, users of free applications such as Designer can get 15 points per month. Microsoft 365 personal version and home version subscribers get 60 points of AI points per month. You can use it in Word, Excel, PowerPoint, Outlook, Forms, OneNote, Designer, Notebook, Photos, and other small applications. For example, if you use Outlook to translate email content, you will use up an AI point. But every month, the AI points you have will be reset. You can use 60 points again. If you are a Copilot Pro subscriber, there is no limit on the amount you can use. OK, this is how to calculate AI points in Microsoft 365. Next, let's talk about how to use Copilot. I will use the same topic to go through the three most commonly used work software Word, PowerPoint, and Excel. I will teach you how to quickly get to the point and use Copilot. On the work page, you will see a Copilot prompt at the beginning. There is also a prompt to click on Copilot. You can also use Alt and I to call Copilot. In addition, there is also a prompt in the upper right corner. You can open the dialog window on the right. After Alt and I call the dialog window, for example, I want to print a document about global climate change and its impact on the economy. I will enter the command. Please use this topic Global climate change and its impact on the economy Print 1000 words In less than 10 seconds, it will generate about 1000 words on our Word file. The content generated is actually quite deep, including the impact on various industries or other effects caused by global economic impact. For example, the gap between the rich and the poor, etc. If you think the content it generates is OK, click Save. If you want to edit or modify such as this paragraph, change it or auto-correct it, change it means that you give it a command to correct it according to your requirements. For example, please describe this paragraph in more detail. Generate If you are not satisfied with its response, choose the trash can to give up. If you choose to auto-correct, you will see that it automatically generates different versions of the content. You will see that it provides three versions for you to choose. You can decide which one is more suitable. Click Replace to replace the original paragraph. Or choose to insert the following link to add this content to this paragraph below. You can also adjust the tone of the content. Choose the icon on the far right. You can adjust the style of text to neutral, casual, professional, concise, imaginative, etc. You can make better choices for your readers. For example, professional may be more suitable for the topic I am doing. If it's OK, click Replace. If you want to generate more content, continue to give commands. For example, please add the latest research report data on economic direct impact. OK. Before saving, you can still modify the command to get the best answer. Next, if your content has more numbers, you can also make a table for it. Let's choose the third one. Great! This is more helpful for reading and quick understanding. If there is a lot of data or more complicated, this table will be more obvious. It's really convenient. It really feels like the work efficiency has been greatly improved. In this case, we can also use Copilot in Word to analyze PDF files. How to do it? For example, let's say I find a study about the United Nations Climate Assessment Report. It's a PDF file, and the data is huge. It's a 24-page file. How do I use Word? How does Copilot help me? In the new Word file, go to File, Open, and find the PDF file. There may be a little error, but it doesn't matter. Click OK. We have successfully converted a 24-page PDF into a 35-page editable file. Click Edit, and click OK. But if your PDF file has a lot of blocks, or if the file itself has a strong design, it may not be able to be converted. If this happens, you can also use the online PDF AI tool to analyze. For this tutorial, you can go to the video about Small PDF and Chart PDF. After converting it into a Word file, it's the same concept. Click Copilot in the upper right corner, and open the dialog box. Please help me pick up the key points of the file. Sort it into 10 key points, and briefly describe the key points. Send. Great! You can sort 10 key points in 3 seconds. You can copy and paste them into a new file. Next. If I want to convert these 10 key points into a report, click Next. Please convert the content into a 10-page PowerPoint report. At this time, it has done some editing, and the title is specifically marked, and the content has been separated. Next. Please delete all the numbers in the order. Because the title of the report basically doesn't need numbers. After OK, copy and paste, replace the original content, and quickly sort the title. Add another report title. Global climate changes affect the economy. Next. How do we quickly assign these titles and their content to each PowerPoint video? Go to the View menu. Select the grid mode. Select each title. Press the Ctrl key. Gradually click on the small circle next to it on the left. You can repeat the selection. After selecting, define it as class 1. After selecting the content, define it as class 3. After defining, save the file. Then close the file. Next. Open a new PPT file. Just like in Word, you can call it out on the workbook or in the upper right corner of the toolbar. But I'm going to open the Word file first. Click on the new video drop-down menu. Select the video to be inserted from the grid. Select the Word file just inserted. The title, content, and video will be placed on each video drop-down. You'll see the green style. Click on the drop-down menu. You'll see the video. What's the use of Copilot in PowerPoint? For example, if I need to insert a picture in this slide, we may need to find a picture library and consider copyright issues. In Copilot, you can ask it to generate a picture. There is a built-in image Click on the image. Great! It will quickly generate four related images. For example, I like the first one. Click on the image. Move it to the screen. I'll move it to the blank video. Click on the image. You can use the image generated by the AI to quickly beautify our content. There will be no copyright issues. OK. In Copilot in PowerPoint, in addition to generating images, it can also help you generate bulletin boards and text to help you tell a story. This is similar to the work concept we talked about in Word. I won't show it here. However, we will need some digital bulletin boards to help us make bulletin boards more professional. For example, this Excel file contains data on climate change and global economic impact. Open Copilot's dialog box. You will find that it has to boot to OneDrive to start using it. After clicking on Automatic Storage, it will list some commands related to documents to guide you how to use it. For example, I want to use color to mark some data in the storage box. I will use the red arrow to list all the negative data in the storage box. If it's correct, click Apply. Or if we want to change a specific font color, for example, please change the selection list to green. OK. Even if you want to translate in this Excel file, it's not a problem. For example, please translate the selection list into Mandarin. Wow, it's so convenient. I don't have to Google Translate Next, if I want to ask Copilot to help me summarize the meaning of these data, I don't want to use my brain at all. This is the purpose of using AI. What is the main trend of data? It shows what the data in the Excel table is and summarizes the three main observations Global average temperature rise, extreme weather event increase, disaster and reconstruction, cost rise. It summarizes the core meaning This kind of data analysis ability may have been by the finance minister or the analyst in the past. But with Copilot, it's really a great help. Next, you can copy it and use it to execute your next task. Next, we can also add more data such as greenhouse gas emissions growth rate This is a very good data analysis. Plug it in. It helps us to add a data column and produce complete data. Next, it shows the information in-depth analysis. It even produces a chart. Just in time, I ran out of AI points. Next, how to use Copilot Limitation is really cruel. It's okay. We can add it to the new work table. Next, after we click on the chart, we can do the Boolean analysis. We can further do a more complicated cross-analysis. After the Excel chart is generated, if I need this chart to be put in my report, I can copy it to the PowerPoint report and paste it.
